What data we collect

We collect information you provide when setting up your account - organisation name, contact details, and billing information. Through use of the platform, we also process parent names, email addresses, and booking information including children's names and session attendance.

We do not collect sensitive personal data about children beyond what is necessary to manage bookings and attendance.

How we use your data

To provide and operate the Booki platform. To process payments through your connected Stripe account. To send booking confirmations and session notifications. To provide support when you contact us.

We do not sell your data. We do not share your data with third parties except where necessary to operate the service (Stripe for payment processing, Firebase for data storage).

Data storage

All data is stored securely on Google Firebase infrastructure hosted within the European Economic Area. We retain data for as long as your account is active, plus 12 months following cancellation.

Your rights

Under UK GDPR you have the right to access, correct, delete, and export your data. Contact privacy@booki.life to exercise any of these rights.

Children's data

Booki processes limited data about children solely for the purpose of managing session bookings and attendance. This data is provided by parents or guardians and is processed on behalf of the organisation using the platform.

The service

Booki provides booking, payment and attendance management software for activity providers and schools. By creating an account you agree to these terms.

Your account

You are responsible for maintaining the security of your account credentials. You must provide accurate information when registering. You must be authorised to enter into this agreement on behalf of your organisation.

Payment

Subscription fees are billed monthly in advance. Your subscription will auto-renew unless cancelled with 30 days notice. All fees are exclusive of VAT. Payment processing is handled directly through your own Stripe account - Booki does not handle or hold your booking payments.

Cancellation

You may cancel your subscription at any time with 30 days written notice to hello@booki.life. No refunds are issued for partial months.

Acceptable use

You agree not to use Booki for any unlawful purpose. You agree not to attempt to access, modify or disrupt the platform or its underlying systems.

Liability

Booki is provided as-is. We do not guarantee uninterrupted availability. Our liability to you is limited to the subscription fees paid in the preceding 3 months.

Governing law

These terms are governed by the laws of England and Wales.

DATA PROCESSING AGREEMENT

This Data Processing Agreement forms part of the Terms of Service between Minnow Technology Ltd (Processor) and the organisation using Booki (Controller).

Scope

This agreement covers the processing of personal data by Booki on behalf of the Controller in connection with the provision of the Booki platform.

Data processed

Parent and guardian names and contact details. Children's names and booking information. Attendance records.

Purpose

Data is processed solely for the purpose of providing the Booki booking and attendance management service.

Security

We implement appropriate technical and organisational measures to protect personal data including encryption in transit and at rest, access controls, and regular security reviews.

Sub-processors

We use the following sub-processors: Google Firebase (data storage and hosting, EEA), Stripe (payment processing). We will notify you of any changes to sub-processors.

Data subject rights

We will assist you in responding to data subject requests within the timescales required by UK GDPR.

Breach notification

We will notify you without undue delay upon becoming aware of a personal data breach affecting your data.

Governing law

This agreement is governed by the laws of England and Wales.
